Understanding Onix email notifications

Onix email notifications help your team stay on top of critical business events, from order processing and inspection completions to account access and equipment due dates. This reference guide covers all notification types available across Onix applications, so your team knows exactly what to expect and when.

Onix Work - Invitation to access member company account

  • What for: This is to notify invitee that they can now access the Onix account of the member company. Which apps they have access to depends on the license and role the Administrator user assigned to them.
  • Notification is triggered when: Administrator user of a member company added someone as a user on Onix Work > Settings > Users & Roles > Invite users.
  • Recipient: Those who got added as a user on Onix Work’s Users & Roles.

    (Invitee has NOT created a user account on Onix Account before)
    • Administrator user of a member company added them as a user on Onix Work > Settings > Users & Roles > Invite users, or

  • What for: This is to notify user that they can either log in using the registered credentials or click Reset the password to be directed to Onix Account where they can change password.
  • Notification is triggered when:
    (Current password was created without password hint)
    • Existing user attempted to create a user account on Onix Login > Create an account > Enter email address > Continue, or
    • Existing user attempted to reset password on Onix Login > Enter email address > Continue > Forgot your password.

  • What for: This is to notify user that their password reset attempt failed because no account was found with the provided email address.
  • Notification is triggered when:
    • User attempted to reset password on Onix Login > Enter email address > Continue > Forgot your password? > Continue, and
    • Their email address does NOT exist in the Onix database, and
    • They never received any invitation to join a member company account or Onix Express, and
    • Their email domain was not granted domain access by any member companies.

    • They never received any invitation to join a member company account or Onix Express, and
    • Their email domain was not granted domain access by any member companies.

  • What for: This is to notify invitee that they have been given access to Onix Express from a member company to view documents delivered to their company.
  • Notification is triggered when:
    • A non-member company contact is invited as a user via Onix Work > Companies module > Select a non-member company > Contacts > Click New > Invite as user, or
    • Multiple contacts are added via Onix Work > Companies module > Select a non-member company > Contacts > Add multiple users, or
    • A request is approved via Onix Work > Companies module > Express requests > Handle requests > Select the non-member company the requester belongs to > Approve, or
    • An Onix Express user invites colleagues via Onix Express > Invite colleagues.
  • Recipient: Those who got added as a user of Onix Express.

  • What for: This is to notify the member company’s notification contact that someone has requested access to their Onix Express portal.
  • Notification is triggered when:
    • Requestor has already registered a user account with Onix (e.g., they have been invited to join Onix Express of a member company before), and
    • Requestor requested access via Onix Express access link (URL) > Log in > Request a user.

  • Notification is triggered when:
    • Inspections are successfully uploaded from Onix Inspect to Onix Work, or inspections are conducted on Onix Work > Equipment > New job, or inspections are conducted on Onix Work > Orders > Process’s value = Create equipment and (file) job, and
    • Form in Job details = Inspection report or Quick inspection (M), and
    • Jobs have been filed (File status = Filed), and
    • The notification has been configured on Onix Work > User settings > Alerts prior to the job upload attempt.
